Programme Director

Learning information system (ÕIS2 https://ois2.ttu.ee/uusois/uus_ois2.tud_leht ) user manual for the programme director.

The programme director may be associated with one or more study programmes, then he/she also has the corresponding number of roles.

ÕIS2 login is done with an ID Card, Mobile-ID or SMART-ID. Using Uni-ID, the programme director cannot yet log in to the ÕIS.

The programme director can perform the following actions in the ÕIS system:

  • send messages,

  • evaluate applications for VÔTA

  • prepare self-assessments of the curriculum

  • monitor the study of the students in his/her curriculum

  • monitor general information

There are 4 items in the main menu of the programme director: General information, My curriculum, Performances, Surveys. Only one item can be open at a time.

Home page

The following information is displayed on the homepage of the programme director, similar to other workplaces: ÕIS announcements and personal announcements, times of defenses, exams and consultations.

The following ÕIS messages are displayed to the programme director:

a) information about VÔTA applications aimed at evaluation and the possibility to move to the search form for the corresponding applications

b) information about VÔTA applications that have exceeded the evaluation deadline and the possibility to move to the search form for the corresponding applications

 

The programme director can send messages under General Information.

Notice to students of the curriculum

The programme director can select a group of students by the following parameters: Student Code, Student Name, Sourse of finance, Study form, Study plan status, Main specialty and Year of admission.

More than one criteria can be selected. To add or remove criteria, you need to click on the + or - buttons respectively.

 

Notice to teaching staff of the curriculum

If the director enters a first or last name in the search and selects the right lecture, then the message is sent to a specific person or to everyone who was found and selected in the search. If you do not select anything, then the message will be sent to all teachers from this curriculum.

Message to the VÔTA coordinator

If the director enters a first or last name in the search and selects the right coordinator, then the message is sent to a specific person or to everyone who was found and selected in the search. If you do not select anything, then the message will be sent to all VÕTA coordinators.

Syllabus data

A programme director can edit and approve their curriculum, but not a locked curriculum.

From the "Curriculum details" menu, a form opens, which is divided into two tabs. By default, the programme director's curriculum opens. The second tab covers versions of this curriculum. The curriculum version data is displayed in a non-modifiable form. It is possible to make a copy of the curriculum version (the corresponding button for this), which the programme director can change.

A new version of the curriculum is automatically created for each academic year. In this case, the programme director can change the version of the curriculum within a given period of time. The programme director then no longer needs to copy the version of the curriculum (the corresponding button is not displayed).

The form of the curriculum is similar to the one in the old ÕIS. However, some fields that were related to the search in the old ÕIS are of the autocomplete type in the new ÕIS. For example, "name of the dean of the faculty/director of the college" and "external partners of the cooperative plan".

The blocks at the end of the form "curriculum majors", "curriculum degrees", "curriculum structural units" and "curriculum changes" are so-called hidden in the new ÕIS. Blocks can be opened and closed from the “+” and “-” icons respectively. The content of the block is similar to that in the old ÕIS. At the end of the block title, the number of entries in the given block is displayed in parentheses.

Curriculum self-analysis

The programme director can view the self-analysis of his curriculum.

The opening form displays the search with the search result and the self-analysis record of the previous academic year's curriculum.

Search parameters:

  • Academic year - the previous academic year is displayed by default

  • Status

  • Added

  • Last modified

 

Search result fields:

  • Jr

  • Curriculum code

  • Academic year

  • Status

  • Added

The last column displays the link "Add New" or "Edit". Clicking on the link opens the self-analysis change form.

The self-analysis of the entered curriculum can be approved and de-approved by the programme director.

Blocks II-VIII are in so-called hidden form. The contents of the block can be opened and closed from the "+" and "-" icons, respectively. The contents of the blocks are similar to those in the old ÕIS.

Performances

The form for searching and viewing the learner's data is similar to the one in the old ÕIS (head of the curriculum at work).

From the "Student data" menu, a form opens where you can search by the following criteria:

· Learner's name

· Personal code

· Student code

· Register no

· Major

· Course 

By default, no results are output.

The search is issued only by students studying in the curriculum related to the programme director.

The fields displayed as a search result are:

· Learner's name

· Personal code

· Student code

· Register no

· Major

· Course

In the last column, there is a link "View", which opens a form for viewing the student's data, where the study status of the student in the curriculum, declared subjects, performances, movements of the last semester.

 You can monitor the completion of practical subjects of the curriculum students.

TAKE applications

The position of the programme director includes the functionality of an evaluator of VÔTA applications. The programme director can evaluate VÕTA requests addressed to him, if necessary, add co-evaluators, submit proposals to the advisor to change the subjects to be replaced, correct the names of external subjects or exchange modules.

Declarations

A form for searching for declarations of students studying in their curriculum opens from the menu. By default, the search results table displays the current semester's declarations of students studying in the current semester's programme director's curriculum.

The form displays a search with the following parameters:

  • · Structural unit

  • · Module (selection field from modules of the programme director's curriculum)

  • · Subject code

  • · Substance

  • · Mandatory (yes/no selection field)

  • · Student code

  • · A student

  • · Teaching staff

  • · Study form

  • · Accepted

  • · Justification

  • · Reason for non-acceptance

  • · Language of study

  • · Study plan status

The same fields appear in the search results table, but can be hidden under the settings icon if needed.

 Surveys

For viewing surveys, the same forms as in OIS2 are available at the institute's workplace. Only that the programme director can only view survey data related to his curriculum.

The menu item contains 4 submenus:

Average grades and comments (also those subjects that are related to the curriculum but belong to another faculty/institute)

· University-wide results

· Survey form

· Old polls (up to 2013)
