6. Actions of the person entering the application upon receipt of the funding decision

If an external funder has sent information or a decision on the funding of an application, the corresponding status must be indicated in the project record and the result of the evaluation must be recorded and the file of the decision must be attached thereto.  

In order to notify of the decision, you need to select “Funded” or “Not funded” on the application record in the list of project applications. Each project application can be modified by the project manager or the principal investigator. 

If a project is not funded, the process ends and a notification of the status change is sent to the project manager, the principal investigator and the grant advisor of the Research Administration Office.  

If a project is funded, a project record is automatically created in the project list based on the application data and a few minutes later, the principal investigator and the project manager receive a notification containing the link to the project record and a request to supplement the data, including the data required to enter the project into the ETIS (when the project application is not submitted in ETIS). 

A financing source will not be opened until these data are added to the project contract. It is important to attach also the application if it has been modified after the submission of the application and the funder’s evaluation and/or decision, if any. Project data can be confirmed when the decision of and/or contract with the funder has/have been obtained or entered into. A financing source will not be opened if a decision of the funder has not been obtained or a contract has not been entered with the funder. 

To make a change, double-click on the item or select the corresponding project in Lists and select “Edit”.  

If an application or project is opened using a direct link, the record details will open immediately and the “Edit all” button is displayed above the record.

Data will only be saved if you close the record by clicking on the “Save” button. Data will not be changed if you select “Cancel”. 

If data have been supplemented, the project manager or the principal investigator must provide the corresponding confirmation and the project contract is sent to the Research Administration Office for registration.
