Microsoft Teams

Microsoft Teams is a digital hub that brings conversations, content, assignments, and apps together in one place. Within Teams, educators can give video lectures, share files and notes, and converse with students in chat.

Both lecturers and students can access the MS Teams environment using Uni-ID. The client program is already pre-installed on the computer managed by the IT department (or it can be obtained using the existing Software Center application on the desktop). MS Teams can also be used via the web interface https://teams.microsoft.com.

We recommend you add a direct link to your Moodle course, so your students can join the correct MS Teams group.

MS Teams recordings

(info) Starting from autumn 2021 MS Teams uses the meeting recording auto-expiration feature, which will automatically delete Teams recording files stored in OneDrive or SharePoint after 365 days

New recordings will automatically expire 365 days after they are recorded if no action is taken. This will not impact meeting recordings created before the feature is deployed.

Users (except for users with A1 licenses, that is guest lecturers) can also modify the expiration date for any recordings on which they have edit/delete permissions, using the files details pane in OneDrive or SharePoint. The expiration timeline can range from one day to several years, or even set to never auto-expire.

A1 users will receive a 30-day expiration default that can be reduced but not increased. To retain recordings for more than over 30 days, A1 users must download the file to a non-synced folder.

The end user will be notified via email when a recording is deleted due to the expiration setting. The user with edit/delete permissions will be able to retrieve thecan can retrieve the file from the recycle bin for up to 90 days.

  • For personal (non-channel) meetings, all recording files will go to the OneDrive account of the user who selected Record (recording location: recorder's OneDrive for Business/Recordings).

  • For channel meetings, the recording will always go to the SharePoint site of the channel (recording location: Teams name - Channel name/Documents/Recordings).

All meeting invitees except external users will automatically get a personally shared link for non-channel meetings. External users must be explicitly added to the shared list by the meeting organizer or the person who started the recording. For Channel meetings, permissions are inherited from the owners and members list in the channel.

I haven't used Teams before. How can I get a user account?

Both teachers and students can access the MS Teams environment by using Uni-ID.

Teams desktop application is already pre-installed on the computers managed by the IT department (or can be downloaded using the Software Center application on your desktop). MS Teams can also be used via the web interface https://teams.microsoft.com, but it is recommended to use the desktop application.

What are the alternatives to MS Teams in TalTech?

If you have a Moodle course, we recommend using the Moodle tool BigBlueButton, which is a specially designed for online learning (up to 100 participants).

You can also broadcast lectures from some classrooms as well as from and at home via the Echo360 platform.

For one-on-one calls, we recommend using Zoom, the free version of which allows unlimited video calling for up to two participants. The university has also acquired a limited number of Zoom licenses. If you know in advance that you need to use Zoom for more than 40 minutes or with a large audience, contact the Educational Technology Center and we will share a license with you for the event (subject to availability).

How can I give a video lecture in MS Teams?

There are two main live streaming options in Teams: Meeting and Live event.

You can access both by clicking on the Calendar menu on the left and then selecting Schedule meeting or Live event from the arrow on the top right. It's a good idea to use a meeting if your event has few participants, such as a seminar, where it's important for all participants need to be able to share their video and audio. Use the live event if you want to broadcast the lecture to a larger audience online. To do this, share a link to the event with your audience, for example in a Moodle course. Both Meeting meetings and Live live events can be saved and a link to the recording can be shared later.

How can I prevent students from recording?

By default, in Teams meetings everybody are Presentersis a Presenter. With the presenter role you can, for example, mute others, remove users out from the meeting, and start recording. Therefore, it is indeed possible that the event recording of the event can be initiated by one of the students and the recording will be created under the student's account. You can control who should be a presenter or attendee in the Meeting Options for your meeting.

  1. Schedule your event in Teams calendar and send the invitation.

  2. Re-open the event by clicking on it in the calendar and by expanding it (or by double-clicking on the calendar event).

  3. More options now appears above the meeting details. Click to open event settings.

  4. Meeting options open in a web browser. Determine the who can present (and start recording) from a drop-down list. Save changes.
