Microsoft Teams is a collaborative work tool that combines chat (instant messaging), video calls, file sharing and allows you to create a separate desk to gather all the information needed for group work.

Start using Teams

On a personal computer: Teams can be used via the web interface https://teams.microsoft.com/, but the IT department recommends that you download the Teams client program on your computer from here:

Attention! The client program is available for computers with Windows and OSX operating systems. For the Linux operating system, the client program is still a "preview" and may not be fully functional.

On a computer managed by the IT department: the client program is already pre-installed or can be loaded using the "software center" application on the desktop. Can also be used via the web interface https://teams.microsoft.com.

On a smart device: Teams can be downloaded from the manufacturer's app store by searching for "Microsoft teams"

Logging in

You can use your Uni-ID account to log into Teams

Main Button Functions:

  • Activity โ€“ Collects all notifications: new posts, mentions, tasks, and other important updates.

  • Chat โ€“ Overview of your instant messaging conversations.

  • Teams โ€“ Displays all the collaboration groups you are a member of. You can also create new groups and invite members here.

  • Calendar โ€“ Your personal calendar with scheduled events and meetings.

  • Calls โ€“ Allows you to make voice and video calls with colleagues.

  • Files โ€“ Shows the files youโ€™ve recently worked on and all files uploaded to your OneDrive cloud storage.

Joining a Video Meeting

  1. Attention! Connect your headphones or audio devices before starting the video meeting.

  2. To join the video meeting, open the corresponding calendar event.

  3. If the event includes a video meeting link, click on it.

  4. This will open either a web browser or the Teams desktop app. Follow the on-screen instructions and choose whether to join via the web app or desktop app.

  5. When Teams opens, select whether you want to enable your camera and microphone. By default, both might be turned on.

  1. Once your selections are made, click "Join now" to join the meeting. Others should now be able to hear you..

From <insert date>, the location of Microsoft Teams meeting recordings will change. The new location is OneDrive.

In both cases, the location is the "Recordings" folder under OneDrive files.

Management of Teams shared files and folders

In MS Teams, a group of users is allocated shared cloud storage that they can manage and access through either SharePoint or the Teams environment.

When using shared files, itโ€™s recommended to work with them directly in the online environment. This allows multiple users to edit the same file simultaneously in real-time, ensuring smooth and efficient collaboration.

Working with Files in Teams

You can find the file in the appropriate Teams channel (General or another channel created for the workgroup).

  • Edit in Teams โ€“ opens the fileโ€™s online version directly in the Teams window.

  • Open in app โ€“ opens the file with the application installed on your computer.

  • Open in browser โ€“ opens the file in a separate tab in the web browser.

When you open a file in Teams, changes made by you and others are reflected in real-time, allowing collaborative content creation and updates. Using the primary online version helps prevent the creation of multiple versions of the same document.

Additionally, you can copy the file's location link and share it with others via chat or email. Access rights are automatically granted to all Teams members or anyone with whom the file or folder has been shared. Copy link automatically generates a sharing permission, which you can manage via the dropdown menu at the bottom of the pop-up window.

  • Open in SharePoint โ€“ opens the document library in SharePoint online, allowing management outside of Teams.

Working with Files in SharePoint Online

You can find the file in the Documents library within the directory named after the appropriate channel (General or another workgroup channel) in SharePoint Online.

In addition to viewing and editing files, SharePoint allows you to:

  • Manage access permissions

  • Track file usage

  • Restore previous versions

  • Recover deleted files for up to 30 days

  • Sync files to your computer

  • Download and upload files

  • Advanced users can also utilize the Automate feature.

Note! Most common file types, such as Word, Excel, PowerPoint, PDF, and mp4, can be handled directly in the online environment. Using the online version as the primary copy helps avoid potential saving and accessibility issues.

Juurdepรครคsuรตiguste haldamine SharePoint Online keskkonnas

Managing Access Permissions in SharePoint Online

All Teams members automatically have access to the files and folders stored in the Teams Document Library. Access rights are applied at the team level, meaning that all members can view and manage files within this library.

When a user is added as a member of the Teams group (only owners have the right to add members), they automatically gain access to the entire Document Library, except for certain automatically managed parts of Teams.

If you wish to share only a specific file or folder, you can manage access directly in SharePoint, assigning permissions to individual files or directories as needed.

Share and Copy link functionality

In SharePoint and Teams, you can share specific files or folders (including subfolders) with individuals or groups, assigning appropriate access permissions and setting time limits if necessary.

  • The Share feature allows you to share a link with specific users and define precise permissions (view or edit).

  • The Copy link feature generates a shareable link, with access settings customizable as needed.

Link types:

  • Anyone with the link โ€“ Anyone can use the link, including non-authenticated users (less secure).

  • People in TalTech with the link โ€“ All TalTech account holders can use the link (authenticated).

  • People with existing access โ€“ Only those who already have access can use the link (authenticated).

  • Specific people โ€“ The link is available only to specific individuals whose email addresses are specified (authenticated).

Permission levels:

  • Can edit โ€“ Allows users to modify or delete files and folders.

  • Can view โ€“ Grants view-only access.

Files and folders shared with you can be accessed in OneDrive under Shared with me, while group-level shared content is available in SharePoint Online under Shared with us.

Note: All group members can share files, but sharing can be managed or revoked in SharePoint under Manage Access. Only users with owner status (Owner) can add or remove group members.

Setting MS Stream Lecture Recording Permissions

To change the access rights for your lecture recordings:

  1. Go to https://web.microsoftstream.com and sign in with your Uni-ID@ttu.ee and Uni-ID password.

  2. Navigate to My content -> Videos to view your uploaded videos.

  1. Select the video whose access permissions you want to modify.

  1. Access options:

    • Whole university โ€“ the video will be visible to all university staff and students.

    • Designated users โ€“ share the video with specific individuals by entering their email addresses.

    • Entire MS Teams group โ€“ share the video with an entire MS Teams group.
