Archiving of Moodle courses

1. Aim

The purpose of archiving Moodle courses and the introduction of MOIS is to:

  • ensure that students have access to the courses they have completed during the nominal duration of the curriculum (5 years);

  • maintain access for the lecturer to past results and materials;

  • maintain the academic records of the students who have completed their studies and to maintain the learning outcomes for the previous semester;

  • reinforce compliance with data protection requirements;

  • enable data exchange between Moodle and SIS (e.g. future transfer of grades).

2. MOIS as a basis for course creation

  • From autumn 2025 onwards, all Moodle courses for degree courses will be created exclusively via MOIS, which will automatically link the course to the corresponding SIS subject-teacher pair.

  • Students who have declared from SIS will automatically access the Moodle course once the lecturer has activated the corresponding provision in Moodle and accepted the declarations.

  • With the introduction of MOIS, the resetting of courses is no longer required. Instead:

    • A new course will be created in MOIS for each semester,

    • The previous course is archived and remains unchanged.

 

3. Archiving policy

  • Only courses created through MOIS are archived, automatically:

    • February 20th - autumn semester courses,

    • July 7th - spring semester courses.

  • The date of archiving is stored in the course metainfo and is used to calculate the date of deletion.

  • The course will change to read-only status and will be moved to the archive category, only the participants (lecturers and students) will remain visible.

  • On the Moodle desktop, these courses can be accessed via the ‘Archived’ filter.

4. Deletion of courses

Archived courses are deleted 5 years after the archiving date.

  • Before deletion a notice is sent:

    • 3 months prior;

    • shortly before the deletion.

  • The Moodle administrator can suspend or cancel the deletion if necessary.

5. Moodle user accounts

  • The validity of Moodle accounts is based on the Uni-ID lifetime:

    • The student account expires with exmatriculation.

    • The lecturer account expires 400 days after the Uni-ID closes if there is no new contract option.

  • If the user is a lecturer in at least one course in Moodle, a longer validity period will always apply.

6. Exeptions and support

  • Courses that may not be archived (e.g. open university courses, tutorial courses) must be registered using an exception form. Without registration, they will be archived by default.

  • If necessary, the MOIS administrator can remove the archiving status from the course.

7. Further developments and possibilities

  • The lecturer can import content from an archived course into a new course.

  • Courses do not appear in the general search, but only for participants or in the ‘My courses’ filter.

  • In the future, data exchange, including the export of grades from Moodle to SIS, is planned, which will reduce the administrative workload.
