Please note that the most reliable method to differentiate between partners is the registry code, for example, two or more companies may have a similar name, but be completely different companies. Sometimes a person or a group of persons can have multiple different legal persons which might have a similar name and the same contact person/people (s) but still be different companies (registry code is different). It is also not possible to create multiple partners with the same registry code, you can check it under the filter ‘Reg. nr.’ (leia registrinumbri järgi - find by registry code) before creating a new partner:

This will open a dialogue box for creating a new partner, where you have to insert data into all text boxes with a red asterisk (*).

Please note that you have to add at least one contact person to a partner.

Kui kontakt on seotud ettevalmistamisel oleva väikeostuga, kustutatakse kontakt väikeostu vormilt. If the contact person is involved with a low-value procurement in preparation (status ‘Ettevalmistamisel’), the contact will be deleted from the form of the low-value procurement. If the contact person is involved with a low-value procurement of any other status, the contact will remain on the form of the low-value procurement.

Note

If the contact person is already involved with a low-value procurement, you can no longer deactivate them yourself, please contact the Procurement Division. See also below.

If you have filled all the required fields, click on Loo partner (create a the partner) or if you wish to quit creating a new partner, choose Loobu.

You can look at the contact persons of a partner, if you click on the arrow on the right side of the row of the partner:

If a suitable company exists, but the right contact person is not listed, you have to change the partner (by clicking on Muuda):

This will open a window where at first there is the contact information of the existing contact person(s), scroll down until you reach the button Lisa kontakt (add a new contact person):

This will load a form where you can insert the information of the new contact person, to save the new contact person, click on the button Muuda partnerit (apply changes to the partner):

Only the Procurement Devision can delete partners and make other changes to partners, as well as deactivate contact persons. The information of the contact person can only be corrected if the they have not been added to a low-value procurement. If the mistake is noticed later, then the contact person has to be deactivated and a new contact person must be added. If it is necessary to delete a partner or correct their information, please send the name of the company and/or registry code or the name of the contact person, if they need to be deactivated to hanked@taltech.ee.

If a deactivated contact person is connected to a low-value procurement in preparation, they will be deleted from the form. If the contact person is connected to a low-value procurement of any other status, they will stay on the form with the note ‘deactivated’.

You can add foreign economic operators to VOK and invite them to submit a tender. Unfortunately the environment itself is (currently) only in Estonian but if necessary and desired you can send the (English) user guide with the translation of the terms and the email notifications to the tenderers.

You can either add the user guide when creating a low-value procurement to the field ‘Sisu’ (as a link) or under ‘Manused’ (the PDF) in the section ‘Nõuded’ or send it by a message to the tenderers when they have already received the invitation to tender.
