To open the doctoral thesis topic, the supervisor can apply through the TalTech Help Center. Applications can be submitted on the Help Center by anyone with a university In order to create a PhD position, the Supervisor submits an application on TalTech Help Center. Anyone with a university UNI-ID account can submit applications on Help Center. The user can change the language on the Help Center by pressing the user’s character on the top right and selecting Muutke keelt/Change language. As language in the portal can be changed by clicking on the user icon in the upper right corner and selecting ‘Change language’. As the language change does not affect everythingthe entire form, some of the fields and explanatory texts are displayed in both Estonian and English at the same time.   

NB! This service can be used with the following browsers: Google Chrome, Mozilla, Microsoft Edge. Service does not work with Internet Explorer. 

The application form for opening the doctoral thesis topic can be found in Intranet from the content page of the doctoral studies or from self-service, selecting the Research Administration Office from the services.

The supervisor

  1. Upload any additional documents – in the case of industrial PhD, the draft of industrial PhD agreement and the confirmation letter from the company should be submitted

The Supervisor:

  1. opens the application form to create a PhD position;
  2. completes all the required fields;
  3. attaches the required documents as per the instructions given in the form;
  4. clicks the ‘Create’ button to submit the request.

After submitting the application, the Supervisor will receive an e-mail notice notification with a link to his/her application, where he/she sees the information of the application and later the changes of the status of the application and any public comments added to his/her application 

The supervisor can view all his/her applications in the Help Center by clicking the Requests button on the top right menu and then choose My requests or in Intranet from the link available at the content page of the doctoral studies admission.   

After the application has been submitted by the supervisor, the director of the department shall receive an e-mail about the creation of the application together with the basic information of the application. 

The director of the department:

The Supervisor can view all the applications submitted by him / her on the TalTech Help Center by clicking the ‘Requests’ button in the upper right corner.

Once the application is submitted, the Department Manager will also be notified by e-mail.

Department Manager:

  1. opens the application in a web browser to see all application information and a description of the doctoral thesis topic. The its contents and attached documents. The notification e-mail includes a web link to the application is provided in the e-mail Confirms or rejects the application. If the application is rejected, please add .
  2. approves or rejects the application. If the application is rejected, the reason for the rejection is also added to the comment field; 
  1. other comments can be added if necessary 

After the approval of the director of the department, the PhD programme director shall receive an e-mail about the creation of the application.   

The supervisor who initiated the application shall also be informed by e-mail that the director of the department has approved the application. 

The PhD programme director shall approve or reject the application in a similar way to the director of the department 

Once the application has been approved by the PhD programme director, the supervisor who initiated the application shall be informed thereof by e-mail.   

Both the director of the department and the PhD programme director can view the list of applications approved by them by clicking the Requests button on the top right menu and then choose Approvals or in Intranet from the link available at the content page of the doctoral studies admission.

    NB! The application will only be rejected if the Department Manager does not agree to the creation of the position. If there are deficiencies in the application or the Department Manager wishes the application to be supplemented, the relevant information shall be provided in the comment field upon request.
    The supervisor will be notified by e-mail and will make the necessary changes to the application, after which the Department Manager can make his / her decision;
  2. adds other comments as needed.

After the Department Manager’s confirmation, the Programme Director receives an e-mail notification. The Supervisor will in turn be notified that the application has been approved by the Department Manager.

Programme Director:

approves or rejects the application similarly to the Department Manager.

Once the Programme Director has approved the application, a notification will be sent to the Supervisor by e-mail.

The Department Manager and Programme Director can view the list of applications approved by them on the TalTech Help Center by clicking on the ‘Requests’ button in the upper right corner and selecting the appropriate filters.

Applications are processed by the Chief Officer of PhD Admission in the Research Administration Office. After the application is approved by the Programme Director, the administrator at the Research Administration Office will receive an e-mail with a web link. The administrator can view all applications under the queues in Jira: https://helpdesk.taltech.ee/projects/TEAD/queues/custom/203  

The assigneeAdministrator:  

  1. opens the application and start progress. An e-mail notice will be sent to the supervisor about starting the process

  1. begins processing the application, of which the Supervisor is notified by e-mail;
  2. applications which are being processed can be put on hold if, for example, some data needs to be specified;   if the PhD thesis topic is opened for competition in Glowbase
  3. once the competition notice for PhD position has been published, the application will be marked marked as  “Done” ‘Done’ and the supervisor Supervisor will receive an a notification by e-mail notice that the work with his/her application has been completed.
